How do I request for reimbursement?

If you need to file a request for reimbursement for accidental damage covered under the Foxen Waiver, please contact your Property Manager within 48 hours of the incident.

The Property Manager will forward your request and information to Foxen, and Foxen will notify the Waiver incident administrator.

If your unit is unable to be occupied during this period, please work with your Property Manager to secure alternative living arrangements.

  • If you must pay for alternative living arrangements, keep all receipts for review.
  • If the accident is found to be covered under the Foxen Waiver, and if Foxen Waiver limits remain available after payments have been made to the Property and other residents impacted by the same accident, you may be able to receive reimbursement for your temporary alternative living expenses of up to $1,000.

As a reminder, the Foxen Waiver applies to certain accidental property damage caused by an enrolled Resident, like you, from fire, smoke, explosions, and water discharge and overflow. Please refer to your lease or the Foxen Waiver materials Foxen or your Property Manager shared with you for more details.

How do I report an accident that falls under the Foxen Waiver Program?

Foxen requires that you notify your Property Manager within 48 hours if you accidentally cause damage to the Property that may be covered by the Waiver Program.

Your property manager will report the incident . They will ask you for certain information about the accident so they can fill out the submission form which includes:

  • Contact information of all the involved parties, including yourself.
  • A description of the incident, including the date/time that it took place, how it occurred, and the type of loss that occurred (fire, smoke, explosion, water discharge/overflow).
  • Pictures and any other available documentation of the damage.

Once the Incident Report is submitted, an adjuster will be in touch with your Property Manager within 24-48 business hours.

As a reminder, the Foxen Waiver applies to certain accidental damage that an enrolled resident negligently causes and where the damage is from fire, smoke, explosions, and water discharge/overflow. For more details on what your Foxen Waiver Program covers, please check your lease and Program Announcement from your Property Manager.

What should I do when a loss occurs in my unit?

Notify your Property Manager as soon as possible. If the damage occurs after hours, please contact emergency maintenance if necessary.  

How do I provide notice of accidental damage resulting from a covered peril that I caused to my apartment?

Contact your Property Manager and provide the necessary information to complete the Foxen Incident Report. Within 24 hours of being notified, the Property Manager report the incident to Foxen and an adjuster will be in contact within 24-48 business hours after submission.

What do I do if my personal items are damaged?

Please document your damaged personal contents with photos or videos and notify your Property Manager. The claim administrator will assess the damaged items and determine if they are covered under your Property Manager’s Waiver Program.

What types of damage to personal contents are covered under the Waiver Program?

This can vary depending on the Foxen Waiver Program type that your Property Manager selects, but typically up to $100,000 of your liability for covered accidental damage you cause to the apartment building will be waived. You may also be eligible for reimbursement up to $10,000 for your personal contents, if they were damaged in the same covered accident, and up to$1,000 in living expenses. These benefits are all subject to Program limits and the terms and conditions in your lease or the Program Announcement you received from your Property Management.

If your Property has a Waiver Program that includes reimbursement for personal contents, you may be eligible to receive reimbursement where you have accidentally damaged the apartment building and your personal contents were damaged in the same incident. Also, the damage must have resulted from one of the following perils:

  • Fire
  • Sudden and Accidental smoke
  • Explosion
  • Water or other liquid which leaks, flows, or overflows from plumbing, heating, air conditioning, other equipment or fixtures, or personal contents

Keep in mind that the Waiver Program is not insurance and does not result in an insurance policy to you. You should consult an insurance professional for advice on whether you should purchase a renters insurance policy.

What happens after an incident report is submitted by the Property Manager to Foxen?

Foxen will refer the loss to the claims administrator within 24 business hours of receipt. The claims administrator will assign an adjuster and reach out to the necessary parties within 24-48 hours of matter assignment.

How long does the claims process take?
  • The processing time for claims typically varies based on the severity of the loss. On average, claims can take between 30 to 90 days to process.
  • If coverage is afforded, and your property waiver program includes personal property and displacement coverages within the program, reimbursement for personal property damage and displacement expenses are determined after the property has been reimbursed for the covered damages.
How do I check the status of my claim?

The adjuster assigned to the claim is the best point of contact for claims updates. If you are unable to get in contact with your adjuster, please contact claims@foxen.com.

What do I do if I cannot live in my unit?

Please immediately notify your Property Manager. You should keep record of any out-of-pocket expenses. If eligible for reimbursement under the Waiver Program, the claims administrator will assess the amount eligible for reimbursement.
